In the fast-paced world of product development, chaos coordination becomes essential for success. Daily balancing of numerous tasks, meetings, deadlines, requests, etc., can be challenging. In this discussion, let’s share our top tips and strategies for effectively managing your daily routines. Here are a few ideas to kick off the conversation:

The platform and tools are essential:

To champion every work week, there are two main and not-so-secret ingredients which are:

  • Centralized and Collaborative Knowledge Base: Maintaining a centralized and relevant knowledge base with all the essential information, guidelines, and resources can promptly offload the memory for the most critical tasks and keep-in-minds as the knowledge base is always here to help for quick search & find once needed. Thanks to this, managing chaos becomes easier when information is readily accessible. How do you facilitate documentation and knowledge sharing within your team? Discuss your best practices. Here are mine:

Our team uses Confluence and tries to keep it updated, structured, and dynamic with the help of native features with our Handy Macros for Confluence app. One way to facilitate centralized and collaborative Confluence space is using Handy Status and Handy Date with labels, Page Properties, and Page Properties report. As both statuses and dates can be directly updated in the view mode and synchronized with PP, PPR, and labels for quick search, it ensures consistency and structure across multiple pages.

  • Communication and Collaboration Tools:

Seamless communication and collaboration are critical to a team’s success; thus, a tool for that is as important as communication and cooperation. I’ve heard a lot of love-hate opinions regarding Jira Software, but this is the tool we use and like for teamwork for new features, backlog, support requests, etc. What I like about the Jira Software is that each team can customize how their projects look, and ready-to-go templates are also great (especially on Cloud). Bugfixes, new features, and backlogs often come with plenty of attachments. To mitigate random file names, categorizing and grouping attachments with our Smart Attachments app comes in handy and saves time for looking into some Jira issues in more detail.

Tips for coordinating or preventing chaos in your daily tasks:

  1. Document everything: Write down that task, idea, or random (work-related) thoughts. This way, every good deed and statement worth sharing will be there and ready to be done someday or sometime. When done digitally, tracking tasks/deadlines and even reminders for them can be automated. I keep track of my tasks in Confluence DC, and our Handy Tasks are my-go to every day. Without opening the editor, I can assign new tasks, mark them as completed, or track the progress.
  2. Eat one piece of cake at a time: Break down the infinite to-do lists and large tasks into smaller, manageable chunks, increasing the probability of getting things done and preventing feeling overwhelmed. When procrastination kicks in, try a Pomodoro method to get you started: just 25 minutes of deep work and focus, followed by a short 5-minute break, can put you on a good start. Later you can customize the interval - the base rule is to do breaks between intervals.
  3. Trust Your Calendar: Setting up reminders for important deadlines, tasks, and events ensures you stay on top of your schedule and can play a crucial role in success when speaking about time management when juggling numerous assignments, tasks, and meetings. This is another go-to of mine. Namely, Handy Reminders for the Confluence DC where each task of mine also has a reminder on it - I set reminders on Confluence pages rather than the calendar and get notifications when needed to make sure to get the task done on time.

In the dynamic landscape of (work)life, chaos coordination and wise selection of tools & techniques play a vital role in maintaining productivity and ensuring success. Confluence is remarkable for the centralized Knowledge Page, while Jira Software is a wonderful collaboration and communication tool. Regardless of how smoothly the day goes or how long the to-do list keeping automated track of tasks and reminders in doable chunks can set a road for successful chaos and time management to quickly get chaos off your desk.
