How to Export Jira Data to Various Systems

We all know Jira is fantastic for tracking your work. But sometimes, you might need to pull data out of Jira for further analysis. Maybe you want to create detailed custom reports, share information with external users, etc. Exporting data from Jira can be as easy as a few clicks, but even the simplest methods can sometimes trip us up. Groups. Users are considered part of a group when organized into a team with identical permissions and access rights. You can export a list of all groups within your account or choose specific teams based on shared criteria.

Issues. You can select issues to export from any Jira instance by searching for Name, Status, Project, and Fields.

This can include basic ticket information like issue type and status, as well as additional data such as:

  • Who logged the ticket
  • Date and time of creation
  • Edit history
  • Comments

This information is typically used for archiving or reporting, so the best approach is to export it as a CSV or XML file.

Jira's Built-In Export Options for Data Extraction

Jira offers several built-in export options for data extraction, including formats like CSV, Excel, XML, and printable versions. The REST API enables programmatic data extraction, and various dashboard gadgets and reports can also be exported to CSV or Excel. You can customize which fields to export and group them by issue type or other values, allowing for precise data extraction. However, this manual process requires regular maintenance as fields are added or removed, which can be inefficient for frequent or extensive data exports.

You can always turn to third-party apps for help. But before you choose the right one, you must find out what to export. After all, there is a separate specialized tool for each need. For now, we want to focus your attention on the Time in Status app, which will allow you to download the calculated issue data related to statuses, their count, etc.

Exporting Jira Data Using the Time in Status App

So you're ready to analyze; the only requirement is that you do it outside of Jira. In this area, let's look at the app's main features.

Sharing Time in Status Reports to Internal Jira Users

The app lets you easily share reports with your teammates. Say you've created a report with specific settings and want to show it to a colleague. Sharing saves time, as others won't need to reconfigure columns, time periods, or other settings. To share, use the Share button at the app's top right corner.

You can export data from the grid to XLSX or CSV files for analysis using Excel or Google Sheets. To start the export, click on the desired file format.

Additionally, on the same tab, you can view all previously exported reports and delete any from the history if needed.

You can also easily export one of the graph types to one of four formats for further use: PNG, JPEG, PDF, and SVG.

Pivot view

Create and export your Pivot Table reports to Excel or PDF files. The advantage of pivot tables is that you can create customized reports for your needs and requirements.

Presets for Frequently Used Time in Status Reports

This feature is not really about exports. It's more about a solid foundation for further exports. Everyone gets tired of repeating the same actions, especially when you've spent a long time setting up everything to get the perfect report, and then every time, you have to remember how to set up the same display. 

The Save/Load option helps you optimize your time by saving settings you use daily or frequently. Here's how it works:

  1. Save your favorite configurations or reports that you use regularly.
  2. Load the preset you want to work with whenever you need it.

If you save a report for the first time, you'll see an Unsaved preset. Click the Save as button to start.

  1. Enter a name for your preset.
  2. Choose the access type: Private or Public.
  • Private: Only you can see and use it.
  • Public: Everyone with access to the application can use it, but only you can edit it.

JSON Data Feed Link

The JSON Data Feed link enables you to integrate data from the Time in Status add-on into third-party analytics or other external systems. This allows for seamless data sharing and analysis across different platforms.

Further, using Data Feed, you can connect to many useful services. The main advantage is that all these reports will be dynamically updated according to changes in issue statuses in Jira.
