Dot Voting: An Effective Way for Group Decision-Making

Have you ever found the process of making decisions as a group to be stressful and inefficient, covering everything from deciding where to eat to crafting a product strategy? It can be difficult to reach a consensus on which idea is most important or what should be prioritized.

This is where dot voting comes in, and in this article, we'll go over the details of dot voting, when it works best, and how it can help your team make decisions more quickly so that important priorities can be addressed.

What is Dot Voting?

Dot voting is a quick and easy way for a group to decide which things on a list to prioritize. Dot voting is simple: votes are cast at a meeting or retrospective by placing a sticky note or marker next to the options provided, usually on a wall. Each player starts with a certain amount of votes (dots), which they are free to distribute any way they like, either altogether on one item or over several. This feature of dot voting presents an adaptable method of determining group priorities.

When to Use Dot Voting?

Think of dot voting as a friend in decision-making moments, a way to weave everyone's voice into the fabric of your team's story. It's perfect for those times when you want to:

  • Enhancing Group Retrospectives: This method ensures that every team member's perspective is considered clearly and impartially, paving the way for a more inclusive discussion.
  • Transitioning to Easy Task Prioritization: It allows team members to cast their votes democratically on what they consider the most pressing priorities.
  • Towards Efficient Decision-Making: This enables a collective move forward, characterized by quick and efficient decision-making that aligns with the team's agreed-upon priorities.

The Advantages of Dot Voting

Dot voting streamlines the decision-making process while adding a personal touch. Here's why it stands out:

  • Inclusive Participation: It invites every participant to contribute, guaranteeing that every perspective is acknowledged.
  • Uncomplicated Engagement: The simple act of placing dots on a board transforms the typically complex decision-making process into an enjoyable activity.
  • Quick Agreement: It swiftly navigates through hesitation, highlighting the group's true priorities.
  • Visual Harmony: The resulting display is a vivid tapestry of preferences, clearly showing the shared interests of the group.
  • Encourages Consideration: The finite votes prompt thoughtful reflection, urging participants to weigh what truly matters.

How to Set up Dot Voting Sessions?

Executing Effective Dot Voting:

  1. Idea Generation: Write ideas on sticky notes and place them on a board. For remote teams, use a digital whiteboard like Lucidspark.
  2. Organizing Ideas: Cluster similar ideas to highlight key themes, preparing for an efficient voting process.
  3. Distributing Votes: Give each participant a limited number of votes, typically 25% of the total ideas presented.
  4. Voting Criteria: Clearly define the vote's purpose and criteria to ensure meaningful participation.
  5. Casting Votes: Vote silently to avoid influencing others, using dots or marks to indicate choices.
  6. Evaluating Results: After voting, discuss the outcomes to understand collective preferences and decide on further action.
  7. Further Voting: Conduct additional rounds if needed to refine choices or make final decisions.

Harnessing Technology: The Essential Role of Team+

As teams develop and ideas circulate more freely among members, decision-making becomes more intricate, time-consuming, and inconvenient. In this case, tools and technology become indispensable collaborators.

Thanks @Hind Kadiri From Jaanga! This is also one of my favorite techniques when my team needs to make decisions or prioritize tasks. With Team+ we can start to vote anywhere at any time, all data is stored and can be tracked by the whole team.
