Configure views and share plans in Jira

Create preconfigured views in a plan

There are many view settings you can change in your plan, including which work appears, what colors you use, the fields highlighted, and more. You might want to create multiple views of the same plan data. Rather than creating multiple plans with the same data, you can create saved views that enable you and other users to analyze and highlight specific information in your plan.
There are four preconfigured views available in every plan. You can leave them as they are, delete them, or change them to suit your needs.

The Basic view is the default plan view, but you can make another view the default. To do so, click the views dropdown, then Manage saved views. You can select any of your saved views as the default.

What can you change in a view?

There are many things you can change and save to a view.

The view settings enable you to configure several visual components:
  • Color by: Assigns the colors of the work item bars in the timeline using a specific field, like Assignee or Sprint.
  • Sort by: Sorts the order of work items in the timeline using a specific field, like Rank or Start date.
  • Group by: Groups work into separate swimlanes based on a field, like Team. Each team would have its own swimlane.
  • Dependency style: Shows dependencies between work as either connecting lines or badges.
  • Roll-up: Determines whether parent work items assume the value of child work items for empty fields. You can choose to roll-up dates, roll-up no fields, or roll-up sprints, releases, teams, and estimates. Fields that rolled-up from a child work item will have an arrow indication next to them.

Create or update a view

You’ll use the views dropdown menu to create, update, and change saved views in a plan.
To create a view:
  1. In the timeline view, click the views dropdown. The menu will be labeled with the name of the current view, like Basic view.
  2. Click Create a new view.
  3. Name your view. You can make it the default view if you’d like.
  4. Click Save.
  5. Make any changes to your view that you want to save, like configuring view settings, filters, and columns.
  6. When finished, click the views dropdown. It should be labeled with the name of the view you just created.
  7. Under the view’s name, click Save.

If you want to undo your changes to the view, in the views dropdown, click Reset. This will revert the view to the last saved version.

Share a plan with stakeholders

You’ll likely need to share your plans with stakeholders frequently to collect feedback and get support for any proposed changes.
To share a plan, in the timeline view, click Share (represented by a node icon), then select a sharing option.

All of these options are read-only. You’ll need to add users to the editing permissions in plan settings for them to be able to modify a plan.
