By the end of this lesson, you’ll be able to:

  • Allow Workspace members to join boards
  • Manage multi-board guests
  • Configure Workspace-wide permissions

Allow Workspace members to join boards

Board and Workspace admins can allow Workspace members to edit and join boards on their own. This is helpful if you don’t want to add members to your boards manually.
👉 For example: Students in the same study group use a Workspace to organize boards for different classes and subjects. Rather than adding each Workspace member to each board individually, board or Workspace admins can just enable the Workspace editing setting to allow Workspace members to join relevant boards.

You can't enable the Workplace editing setting on private boards.

To allow all Workspace members to edit and join a board:
  1. Open a Trello board in your workspace. In the top-right corner, select the board menu (represented by •••), then select Settings to open board settings.
  2. Select the Workspace editing permission. If a checkmark appears next to the setting, you’ve enabled it.

Manage multi-board guests

Multi-board guests are users who have been invited to more than one board in a Workspace.
👉 For example: A design team collaborates on individual projects with a few contractors. The team adds contractors to several boards relevant to their projects, but the contractors don’t need to be full Workspace members.
Only Workspace admins can manage multi-board guests.
To convert a multi-board guest to a Workspace member:
  1. Expand the sidebar to see your Workspace navigation. Select Members.
  2. Under Collaborators, select Guests.
  3. Under the Multi-board guests section, locate the user you want to convert. For that user, select Add to Workspace.

If you want to remove multi-board guests from all boards, you can click Remove next to their name.

Your Workspace permissions, settings, and billing depend on your license.

Configure permissions across your Workspace

You can apply several other permissions across your Workspace, not just to individual boards or guests.

You can limit how users can join your Workspace. You can allow anybody to join the Workspace, or you can restrict access by email domain.
To configure Workplace membership restrictions:
  1. Expand the sidebar to see your Workspace navigation. Select Workspace settings.
  2. Under Workspace membership restrictions, select Change. Select the settings you’d like. Your changes apply immediately, but don’t apply to anyone who has already joined the Workspace.
