A change needs three business sign-offs before the team can close out the handoff. Two land within a day. The third approver is busy, out of office, or the request just got buried under everything else in their inbox. The handoff stays open, and someone keeps checking Jira to see whether anything has changed. A week becomes a month. Eventually someone brings it up in a status meeting, and what should have been routine becomes a scramble.
The usual fix is a human remembering to follow up. So the process still depends on someone noticing it's stuck: the same failure mode, one level up.
How Business Sign-off solves it
Business Sign-off & Approval for Jira can now send reminders on a cadence you set, instead of relying on someone to remember. Choose how many days to wait before the first reminder and how often to repeat after that, either site-wide or by letting individual projects set their own pace.
You no longer have to remember who still needs reminding.
Jira admins find these settings on the Notifications tab of the app's global settings page, and if enabled, on the project settings Notifications tab. Scheduled reminders are off by default, so nothing changes until an admin turns them on.
Set up your reminder schedule
Choose how long Business Sign-off waits before sending the first reminder, then set the interval between subsequent reminders.
One email per approver, not per request. If someone has five pending approval requests due for a reminder, they get one summary, not five separate pings. It lists the requests oldest first, with the project, the date each became pending, and a link to each Jira issue.
It doesn't nag paused work. With Pause Approval Timer enabled, reminders pause when the issue moves into Jira's To Do status category and resume when it returns to In Progress. This follows Jira's status categories, regardless of your team's status names.
Choose when to stop and notify
It knows when to stop. You choose how many unanswered reminders an approver can receive before Business Sign-off considers the approver unresponsive for that request. At that point, automated reminders to that approver stop for that request. If enabled, a one-time notice tells the request's Reporter, Assignee, or both which approver hasn't responded, with a link to the issue. They can then reassign, escalate, or follow up personally instead of discovering the silence in another status meeting.
A predictable cadence, not endless pinging. For example, with a seven-day initial wait, a seven-day repeat interval, and an unresponsive threshold of two unanswered reminders, an approver gets a first automated reminder after seven days and a second seven days later. That's the last automated reminder they'll get for that issue. At that same moment, the unresponsive threshold is reached, triggering the one-time notice to the reporter or assignee: two weeks in, not a month.
Spot unanswered requests on your dashboard
Unanswered requests stay visible. The My Approval Requests gadget marks requests that have an unresponsive approver with a clock icon. Expand the request to see who hasn't responded, so the Reporter or Assignee can spot a stalled request even if they miss the notification email.
Automated reminders keep the follow-up moving and tell the Reporter or Assignee when it's time to step in. If you're still chasing that last sign-off, try automated reminders in Business Sign-off & Approval for Jira, from Cahaba Forge, on the Atlassian Marketplace.
