Create a folder system for your videos
Using folders within Loom is a great way to keep your videos organized and easily accessible. Folders allow you to categorize your content based on projects, teams, or any other criteria that make sense for your workflow. Folders can help you organize your personal video library as well as content in a shared space for your team or project collaborators. You can use a nesting structure to create folders within folders as your projects and video library evolve.
Staying organized with folders not only saves time but also ensures that your team can efficiently collaborate and access the necessary resources.
👉 For example: Sonya is managing multiple team projects. She creates separate folders for each project to store related videos in the team's shared space so everyone can quickly find and share the right video when needed.
👇Click the tabs below to see how to create and move folders.
To create a folder:
- Start from within My Library, a space that you are a member of, or within an existing folder if you wish to create a folder nested inside it.
- Click the New folder button in the top-right corner and give it a title.
When you move a video into a folder in your My Library, the video will only be present within the folder and not in the list of videos below your folder section on the top of the page.
However, if you move a video to a folder within a Space, the video will still be present within your My Library page.
Folders can belong to only one space and cannot be shared in multiple spaces. If you have a folder of Looms that you want to share to a space, you can simply bulk select the videos within the folder and then move them to that space.

Best practices tips for protective video privacy:
- Users can add “Protect this video with a password” to any video, allowing exclusive sharing using a direct URL secured by a password, adding extra protection.
- User’s workspace will be preconfigured by their Admin with default privacy settings visible only to Workspace members.
- Using the “Share with Specific People” feature ensures only invited individuals can view a video.
Import existing videos to keep all your videos together
Importing existing videos recorded elsewhere into Loom can streamline your workflow and centralize your video content. This is particularly useful if you have valuable videos stored on other platforms or devices that you want to leverage within Loom's ecosystem. Pulling all your videos into one place simplifies your content management and provides a single platform for organizing, sharing, and analyzing videos.
👉 For example: Carl previously recorded several product demo videos using another tool. He imports them into Loom and adds them to his team space’s folder system to keep all their videos in one place. This way he can take full advantage of Loom’s sharing, editing, and analytics features.
To add an existing video to your Loom library:
- From My Library, click on the New video button in the top right corner.
- Select Upload Video.
- Drag and drop a video file or browse video files on your computer, then click Upload.

A single upload is limited in number to 10 videos at a time, and a size of 4 GB or 12 hours, whichever is less.
Use video hashtags to enhance organization and searchability
Adding hashtags to your Loom videos is an effective way to improve organization and searchability. Hashtags act as metadata, making it easier to categorize and locate videos based on specific topics or themes. Hashtags help streamline the search process, saving time and ensuring that important content is easily accessible.
👉 For example: Fei’s customer support team creates a high volume of videos of different types. They add hashtags like #training, #FAQ, and #productX to their videos so they can easily find a video on a particular subject. The team can search a hashtag in Loom search and see all the videos that use it.
To add hashtags to a Loom:
- From your video, click the Add tag button below your video summary and chapters
- Select from a list of recently used or suggested tags, or create a new one.
👇Watch this video to see how to add and search by hashtags.
Best practices for using hashtags:
- Avoid using spaces or punctuation in tags
- Don't create tags to replicate folder structures
- It can take up to 24 hours for newly added tags to appear in search filters
Remove videos you no longer need to keep your library tidy
One simple way to keep your library and spaces organized and tidy is to regularly remove videos and folders that are outdated or no longer needed. To do this, you can either archive or delete them.
- Archiving removes them from your video library and stores them in the Archive tab for safekeeping. Archived videos and folders can always be restored to their original location.
- Deleting permanently deletes your video or folder. This action cannot be undone, so it is best reserved for situations where you are absolutely sure the video is no longer needed.
👇Click the tabs below to see how to archive, restore, and delete in Loom.
To archive a single video or folder:
- Within your library, hover over the video or folder you want to archive.
- Click More actions (represented by •••) and select Archive.
To archive multiple videos or folders at once:
- Within your library, hover over each video or folder you want to archive and click the check box that appears in the top-left corner of the thumbnail.
- In the purple bar at the bottom of the screen, click theArchive button, indicated by a filing box icon.
