- Clean up a Jira site
- Use best practices for site governance
What contributes to site performance?
Maintaining the performance of your Jira site is one of the most important parts of being a Jira admin. There are several factors that contribute to your site's performance.
π Click the tabs below to learn about these factors.
As users add information to Jira, Jira indexes this information. The more data that you have, the longer it takes to index new data, then search for and reference it. You can't manually re-index data as Jira does it automatically.
The bulk of your data in Jira will be work, comments, and attachments. Spaces, boards, dashboards, fields, workflows, users, and groups also contribute to the size of your data.
How to clean up a Jira site
Jira admins have many tools and strategies available to optimize site performance. Regularly cleaning up your site is the best way to simplify Jira administration and keep your users happy. We suggest you follow four steps to clean your Jira site.

There are some specific tactics you can use to condense, remove, and redesign different items in Jira.

Spaces hold a ton of data, so removing unused spaces is an effective way to clean up your site. You can identify unused spaces by searching for the most recently created work item in that space and speaking with space admins.
You have two options to manage unused spaces:
- Archiving spaces reduces clutter for users and improves performance. When you archive a space, you won't see it listed on the space page or in search; it'll only be available on the Archived spaces administration page. You can't modify the space or its work, but you can view them. When your site automatically re-indexes, Jira won't include that space in its index.
- Deleting spaces is better for your site's performance, but may go against company policy as you can't easily access the space's data once deleted. You have to reinstate a site backup to retrieve a deleted space's data. Deleting a space only deletes the work, versions, and components associated with the space. It doesn't delete any associated schemes, workflows, or work types.
Jira admins can archive company-managed spaces, while space admins can archive team-managed spaces. Only Jira admins can delete spaces.
There are apps in the Atlassian Marketplace designed to help you clean up Jira. Visit the Atlassian Marketplace to learn more.
Best practices for site governance
In addition to cleaning up your site, there are some general best practices that can help you optimize site performance:
- Communicate frequently with team leads, space admins, and users to understand any problems they're experiencing with Jira's configuration. When they ask for new configurations, consider if you can update existing configurations to meet their needs.
- Set standards for creating new configurations in Jira that explain when you would want to create something new and how you should remove or archive old configurations. This helps users and other admins contribute to your site's maintenance and performance.
- π For example: Establish a standard for how you use groups in Jira and when you would justify creating a new one.
- Start with out-of-the-box features and functionality, then collaborate with a governance committee on changes you want to introduce to the site. Focus on long-term stability, support, sustainability, and maintenance.
- Carefully consider who has administrative permissions to ensure that your admin team aligns on maintenance and governance standards.
