- Configure export settings for PDF files
How do you export content from spaces?
There are a number of ways and formats to export content from a space.
There are many reasons you may want to export the content in your space:
- To produce a printable user manual from a documentation space.
- To convert a space to a static website.
- To import a space's content into another Confluence site. This could be for testing, for example.
- To have a recovery backup before a space is deleted.
Here are a few things to keep in mind when exporting content and spaces:
- Single content items, like a page, can be exported in PDF or Word formats. You can export from the More actions (represented by •••) at the space or content level.
- Spaces (or a group of individually selected pages in a space) can be exported to PDF, CSV, HTML, or XML. You can do this from the Export space page in Space settings. Confluence will create a zipped archive of the CSV, HTML, or XML files, or a single, downloadable PDF file. If you export a whole space containing a lot of data, it will take some time to generate and download.
Only content that is visible to you will be exported. However, if you are exporting via CSV or XML as a Confluence admin, all content will be exported.
👇Click the tabs below to learn more about the export types.
You can choose to export single pages to a .doc file that can be edited in Microsoft Word.
Only published content is exported. This means you can create Word exports even while people are still working on the page. Also, only the first 50 attached images will be included in the export.
Customize the PDF layout
Confluence and space admins can customize the PDF exports for individual spaces. You can add your own HTML to customize the title page, page headers, and page footers in the PDF export output.
The PDF layout enables you to customize the look of your PDF exports by adding a title page and customized headers and footers to the PDF output of a space using HTML.
For more advanced customizations of the PDF output, you can edit the Cascading Style Sheet (CSS), known as the PDF stylesheet. You can change many things, including the paper size, fonts, colors, spacing, and page breaks.
👇Here's an example of using custom HTML to modify the PDF page title.
👇Here's an example of the exported PDF with the title page labeled, "Our Team Space."
Edit the stylesheet
👇 Click the tabs below to see how to edit the PDF stylesheet at the space and global levels.
To edit the PDF stylesheet at the space level:
- Navigate to the desired space.
- Select the ••• next to the space name and then select Space settings from the space pop-out.
- Select Look and feel tab and then PDF export.
- Edit HTML to customize the Title, Header, and/or Footer fields. You can include inline CSS in the HTML.
- Enter your customizations in the PDF stylesheet field. Add CSS to render the same content on each page.
- Select Save.
Changes to the PDF layout only apply to space exports, not single-page exports.
The PDF layout and PDF stylesheet can be customized on a space-by-space basis or globally for the whole site. Space customizations will always completely override any global customizations. This means you can’t mix and match and set some items globally and others at the space level.
