Tagging guest users in databases

elena.kalinskaya

Hi - is it possible to tag guest users in the database fields. I can tag them in the normal pages in the space they have access to but it doesn't work the same way in databases. I can only tag the internal users. If this functionality is not enable, is there a workaround?

Hi @elena.kalinskaya ,

Unfortunately, this isn't possible (yet). There's a feature request related to it here: CONFCLOUD-74747: Ability for single space guest users to @-mention other users from the same space. (applies to databases as well + also will probably affect the vice-versa relation you're looking for)

Reasoning

Confluence intentionally blocks guests from accessing the People Directory, which is the global index used by user-picker fields and @mentions. Because databases use these global lookups to populate User columns, guests are excluded from the results to prevent them from seeing internal user information and vice versa

Workarounds you could try (although they are far from ideal:

1. Use a "Text" Field for Guest Names
2. Use a "Tag" Field
3. Use "Status" or "Label" Syncing

The third one could be something in this direction:

If the guest is the "owner" of a specific Confluence page linked in the database, you can use a Page Link Details field to pull metadata. However, if the guest is not recognized in the source page's metadata, this may still return an empty value.

Cheers,
Tobi
