About 50+ users have accessed Trello various times in the past few years. They accessed it last time several months ago (180+ days). I see an opportunity to reclaim the Guard licenses they hold.
I need to figure out how to achieve this goal.
The long and hard approach is to talk to each user and ask them to delete the Trello content and remove the account.
The easy-to-implement approach (administratively speaking) is to deactivate their account to the Atlassian applications by adding them to an exclusion list through the identity provider (Okta) in our MS Entra server. After syncing with Atlassian, the Guard billing will turn into No. This will give me the desired outcome.
Now, the crucial question is: When do I remove the excluded users from that list? This is important because some of the users may want to access other Atlassian products such as Jira for business needs. We use JSM, and many of the business users may need a role such as "Customer" (non-billable).
If I reactivate the user after x number of days, will they be connected back to the Trello old account and thus come right back into Guard billing Yes?
Let me know if there are better ways to reclaim the Guard licenses.
We use Guard Standard. Trello is Free or Standard.
