We are using Jira Service Management Cloud Forms (formerly ProForma) for a gated approval process.
Our workflow consists of three separate forms:
Gate 1 Form
Gate 2 Form
Gate 3 Form
Current process:
Gate 1 is submitted from the JSM customer portal and attached to the request.
Gate 2 and Gate 3 are added later as the request progresses through the workflow.
Agents need the ability to reopen and edit the existing Gate 1 and Gate 2 forms when updates are required.
Problem: In the agent view, users can click the "+" (Add Form) button in the Attached Forms section and add another instance of Gate 1 or Gate 2 to the same request.
Business requirement:
Only one instance of Gate 1 should exist per request.
Only one instance of Gate 2 should exist per request.
Agents should be able to edit/reopen the existing forms.
Agents should not be able to add another Gate 1 or Gate 2 form once one already exists.
Gate 3 should be available to be added when required as part of the workflow process.
Questions:
Is there any native JSM Cloud Forms configuration to prevent a specific form from being added more than once to a request?
Is there a way to allow editing of an existing form while preventing users from adding duplicate instances of the same form?
Has anyone implemented a recommended solution for this governance/control requirement in JSM Cloud?
Are there any roadmap items or feature requests related to restricting duplicate form attachments?
We are using Jira Service Management Cloud and ScriptRunner for Jira Cloud, but we would prefer a native solution if one exists.
