Require a Member for Every Card

Hi,

Is there a way to require that each Trello Card have at least one Member assigned?

Right now people create cards, and forget to add Members, and then they filter by Assigned By, so a lot of cards are falling through the cracks because they have No Member.

Hi Chaya. Thank you for reaching out. While Trello doesn’t have a built-in feature to require that a card has at least one member, you can enforce this using Trello Automations (Butler). To make it bulletproof, you should create an automation that automatically assigns a member to every new card created in any list on your board.

If you’d like to assign cards in a round-robin style, consider creating template cards, each assigned to a different team member. This way, new tasks can be distributed evenly.

Step-by-Step Setup

Step 1: Open Automation (Butler)

1. Open your Trello board.
2. Click on the Automation (⚡) icon at the top right.
3. Go to the Rules tab.

Step 2: Create the Rule

1. Click Create Rule.

2. Set the Trigger to:

   • "When a card is added to a list" (this covers all lists).

3. Add a Condition:

   • Click Add Condition → Card matches condition → Choose "No members assigned".
     This checks if there is no member assigned when the card is added to any list.

4. Add the Action:

   • "Post a comment on the card": Write something like,
     "⚠️ This card has no member assigned. Please assign at least one person!"
   • You can also move the card to a 'Needs Assignment' list or perform another action to highlight the unassigned cards.

5. Optional: Add another action to automatically assign a default member (if desired).

   • For example, you can use "Assign @your-team-member" or "Assign @board-members" if you want a default assignee.

Round Robin Step-by-Step Setup

Step 1: Create Your Template Cards

1. Go to your Trello board.

2. Create a "Templates" list (or name it whatever you want).

3. Inside this list, create one template card per team member.

   • Each template card should have a title, description, checklist (if needed), labels, and a member assigned.
   • Assign one unique member to each template card.

   Example:

   • 📌 Template - Alice (Assigned to Alice)
   • 📌 Template - Bob (Assigned to Bob)
   • 📌 Template - Charlie (Assigned to Charlie)

Step 2: Create an Automation Rule to Use These Templates

1. Click on "Automation" (⚡ icon) at the top of your Trello board.
2. Go to the "Rules" tab and click "Create Rule".

Set the Trigger

• Choose "When a card is added to list [Your List Name]"
  (This will trigger the round-robin assignment whenever a new task is added to a list.)

Add an Action: Create a Card Using Templates

• Click "Create a new card".
• In the "Title" field, enter something like "New Task - {cardname}" (or keep it empty to inherit from the template).
• Select the "List" where you want the new card to appear.
• Click "Use a card from list Templates as a template" and choose "a random card".
• Click Save Rule.

Step 3: Automate Moving the Template Cards (Optional)

If you want the template cards to be used in perfect rotation, you can add another rule:

1. Trigger: "When a card is created in [Your List Name]"
2. Action: "Move the first card in list Templates to the bottom of the list"

This ensures the templates cycle through, effectively creating a round-robin assignment.
