Admins, comment about a win you’ve had this year about how you’re upleveling Jira to be the end-to-end planning and tracking tool for all your teams.

I got my Jira Admin professional certificate last autumn and been since engaged in quite many assignments helping our Finnish based customers.

💡 A recent highlight was designing and building a Jira project planning and tracking template solution for a wind propulsion company. As Jira Admin, I had the opportunity to deliver not just a reusable project template, but also to significantly enhance how the Customer’s teams collaborate and use Jira. This uplifted their ways of working in several important areas, most notably:

* New projects get started quickly without designing workflows, screens, or issue types from scratch
* Jira template-based projects with preset content speeds up delivery, promotes consistent quality, and saves time for admins and teams — turning Jira into a more scalable, business-aligned solution.

Jira admins are the unsung heroes many times.

Being a successful Jira admin requires a very good understanding of the tool since the Jira is getting more and more complex (and powerful). You also need good process skills to understand when to change the process instead of breaking your back trying to make the tool work in a certain way. 

You also need lots of people skills to avoid being the person that always say no and instead explaining that even if it is possible to configure the tool a certain way it might not be the best solution.

This is why I love to work with Atlassian products, it is a great combination of tools, people and process and comes with a lot of problem solving.

It is a great time to be alive! 🤓😊

Whether it's cleaning up unused objects or schemes, reviewing and standardizing workflows, standardizing custom fields or justifying added org/business value for each app request, keeping and maintaining a healthy Jira instance is my goal.

I've done a lot of customizations and tuning this past year but I would say my biggest win is finally getting project managers and scrum masters to see the value added in learning how to create automations. They aren't creating anything complicated yet but I have seen the usage grow significantly as they become more comfortable which has freed up my time to focus on the more complicated requests. It has also created more interest outside of our software development teams, making a substantial increase in Jira usage among non-IT teams.

Over the past year, I’ve driven several high-impact initiatives as a Jira Admin, with a sharp focus on governance, cost efficiency, and process maturity across our Atlassian Cloud environment.

$70K Cost Optimization

The most significant milestone was achieving a $70,000 reduction in our annual Atlassian license renewal cost. This was accomplished by enabling auto-login and Implementing a license reclamation process for inactive users across Jira, Confluence, and JSM

ITSM Process Implementations

I rolled out key ITSM practices - Change Management, Major Incident Management, Problem Management, and broader Service Management within Jira Service Management. This enhanced visibility, reduced response times, and standardized operational workflows.

Timesheets for Capex & Opex Tracking

I rolled out a timesheet tracking mechanism within Jira to align with finance operations, differentiating between Capex and Opex efforts. This has directly supported project cost allocation and financial reporting, driving transparency and audit readiness.

Agile Project Standardization

Led the migration of agile teams from Team-Managed Projects to Company-Managed Projects, bringing uniformity in configurations, governance, and reporting.

These transformations have not only optimized how we operate but also positioned Jira as our single source of truth for planning, execution, and service delivery.

This year my big win as Jira Administrator was not only to incorporate new projects and people from the company into Jira but also to one of the most difficult teams that didn't want to move to Jira because they had they everyday work related in JotForms.

Celebrating Jira Admin Day with major milestones! 🎉

This year, I introduced two significant improvements in our Jira Cloud environment, delivering real impact for our teams:

1. Governance for Risk & Exceptions

Developed a model to monitor risks and blockers across multiple squads, with automated indicators, custom workflows, and dashboards by PI in Confluence. This improved visibility and accelerated leadership decision-making.

2. Estimation with Financial Insights

Added a preliminary effort tracking process that not only sums story points but also converts them into a projected cost per epic. This gave us clarity for both effort and financial planning, making prioritization much more strategic.

Proud of how these initiatives improved visibility, alignment, and predictability in portfolio management.

One win I've had this year is being asked to learn Forge!  We are currently on Data Center where I am the sys admin, however we are now pivoting towards migrating to the cloud.  On top of that, I've never done dev work so I'm excited to start my journey!  We are already utilizing Jira for this task by creating work items to help plan for our migration as well as for my personal journey on learning Forge!  Very excited to continue my Jira Admin journey and expanding my Atlassian knowledge! <3

With a solid professional trajectory, I currently work as an Atlassian Software Consultant, where I apply a combination of ITSM expertise and agile methods to deliver customized and effective solutions.

Over the years, I have had the satisfaction of leading more than 50 successful implementations of Atlassian products, which reflects my commitment to excellence and innovation.

My role involves not only the administration and implementation of Atlassian Cloud and Data Center products, but also the integration between systems using APIs, Middleware such as Make, Phyton Scripts and the development of complex automations.
