Manage automations in Trello

15 min
Beginner

By the end of this lesson, you’ll be able to:

  • Edit, duplicate, disable, and delete automations
  • Organize your automations using tags
  • Share your automations
  • Inspect automation activity using Automation logs

Manage your automations

All of your automations can be created and managed from within the Automation directory, making it easy to view, inspect, edit, and share your automations from one place. You can view all of your automations by type using the tabs within the directory. From the Automation directory, you can perform all actions to manage your automations, including editing, copying, disabling, or deleting them.

Organize automations using tags

When the number of automations you’ve created grows, you may want to group similar automations together to make them easier to find and manage. You can add a single tag to your automations to assign them to categories and group them together into Automation Libraries. An Automation Library is a group of rules, scheduled automations, and due date automations that share the same tag; card and board buttons are not part of Automation Libraries.
Automation Libraries allow you to:
  • Filter automations by category to find specific ones quickly
  • Enable or disable groups of automations on the current board
  • Share a group of automations with other users in your Workspace
👉 For example: Priti, a project manager, organizes her Trello automations by tagging them based on project phases, making it easy to filter and share the automation library with her team for consistent workflow management.
👇Watch this video to see how you can create and manage your Automation Libraries.

Share your automations and buttons

Your automations and buttons can be visible or run automatically only for you or they can be shared with other members of your Workspace.
The way you share an automation depends on its type:
  • Automations (rules, scheduled automations, and due date automations) can only be shared with others via Automation Libraries. However, they can be added to another board for your own use via the Automation directory.
  • Card and board buttons can be shared to “all Workspace visible boards” or to anyone in a Workspace from the Automation directory.
👇 Click the tabs below to learn how to share your automations and buttons.
Before sharing, ensure that the automations you want to share are properly tagged. Rules, Scheduled automations, and Due Date automations can only be shared through Automation libraries, which are groups of automations with the same tag.
👉 For example: Ahmed, a team lead, shares his "Deadline Master" automation library with his workspace to help everyone stay on track with project deadlines using the Due Date automations he created.
To share rules, scheduled automations, or due date automations with others:
  1. From the top-right corner of the Automation directory, click the tag icon to open your Automation libraries.
  2. Click the Shared toggle next to the library to share it with members of your Workspace. If your library shares a name with another one in your Workspace, you’ll be prompted to rename it or merge the two libraries.
👇 Watch this video to see how to share your automations with others.

If you remove any of your automations, they will still be available for people you've shared your Automation Library with until they update their Automation Libraries by importing all automations from your shared library again.

Inspect automation activity and errors

Within the Automation directory, you can review the activity for individual automations or all automations running on your behalf across all your boards using Automation logs. You can check the Automation log to see if your automation ran as expected; if it didn’t, you’ll be able to see why. You can filter your logs to display only warnings and errors to make it easier to troubleshoot issues with your automations.
👉 For example: Amelia inspects the Automation log to troubleshoot why a specific automation rule didn't trigger as expected. She discovers a misconfigured trigger condition and resolves the issue by updating the rule to correctly match the intended card criteria.
👇 Click the tabs below to learn how to inspect individual and overall automation activity.
To inspect an individual automation’s activity:
  1. From the Automation directory, locate the automation you wish to inspect within the appropriate tab.
  2. Click the Automation log button (indicated by a lightbulb icon) in the upper-left corner of the automation to open the log for that automation.
  3. To filter the log to errors only, click the checkbox Only display warnings & errors in the list above at the bottom of the log.
👇 Click the lightbulb icon to inspect an automation’s activity.
