How to install the Jira with Gmail app 
You must have access to a Jira Cloud site to use this app.

  1. Open Gmail in your browser and select the + icon in the right-hand side panel.

  2. Enter Atlassian in the Google Workspace Marketplace search bar.

  3. Find the Atlassian app, select Install and follow the permission prompts.

  4. Once installed, open any email and select the Atlassian icon in the sidebar.

  5. Sign in with your Atlassian account to connect Gmail with your Jira site.

A bit late as we switched from Gmail to Outlook a couple of months ago 😅, but it's a nice upgrade!

Hello,

As a heavy user of Google Workspace and Jira, I absolutely love it! 

Currently, I am looking for a meaningful integration between Jira and Google Chat. I know about Jira for Google Chat, which is, unfortunately, far from perfect. I would like a solution that quickly notifies me about the most important activities in Jira within Google Chat, and also allows me to easily add a comment or edit a work item from the same Google Chat window.

As you know, switching contexts between tools can be painful. Do you have any plans for such integration? I am looking for something similar to what you currently offer with the Jira x Slack integration. A Jira x Google Chat integration would be really beneficial for all companies working in a Google Workspace environment.

Additionally, my dream would be a Jira x Google Calendar integration to link or create work items with Google Calendar events.

We were designing the app from a Jira-centric perspective, so @Daniel Bagiński you might not find yourself satisfied - but we think that our approach combines a lot of practical use cases for all Jira teams working with Google Workspace...

Great news, @Muthukumar Ravishankar

This will save us time, as we no longer need to create mail handlers for individual projects, allowing users to create new issues from email. Is there any chance you can also add the ability to add the email body as a comment to an existing issue? We have some use cases where an issue occurs in Jira, but there is also some interaction with an external person via email, and users need to somehow add the interaction as a comment in Jira.

Please disregard the comment. I found we can do this. The reason I was unable to find issues was that we are using a custom domain, and I mistakenly linked the Atlassian base URL during the initial setup.

This integration brings Atlassian apps closer to where teams work. I believe these "little" helpers simplify the adaptation and introduction of the System of Work, making it easier to transition from collaboration in mailboxes to Jira.

Good news, thanks for releasing this.
Here's my take on the "turn emails into work items":

 

✅ The AI-generated summary and description? Not bad - it captured the context quite well, but phrased it like a task instead of a bug report.

But it fell short on 3 important points:
❌ Didn’t copy the screenshot from the email
❌ Didn’t prefill the customer in “Raise this request on behalf of”
❌ No suggestion for the correct component (we have multiple apps)

Does this app support the custom domain? I noticed that if a custom domain is enabled, users will see two options per site during the initial setup (1 for the base URL and 1 for the custom domain url). If they select the custom domain url, the "Find work" does not work. If they select the base URL, they must copy the issue URL and manually update it to the base URL before pasting it into the field. Overall, I wish the Find work allows us to search Jira as opposed to pasting the url.

 

Also, is there any way to reset the app without uninstalling/reinstalling it? Let's say someone selected the wrong url during the initial setup; how can they update it?

Regarding your questions:

  • Custom Domains: The app doesn't currently support custom domains. 
  • Finding Work Items: We're constantly working to improve the searchability of work items. This is a high priority, and we expect to release improvements soon. 
  • Wrong URL on Setup: You shouldn't need to reinstall the app if you initially choose the wrong site URL. The app should allow you to access all sites/URLs you have permission to access, regardless of the initial setup choice.

This integration helps to simplify updating Jira tickets and improving communication with requesters and stakeholders.

A concern comes up though regarding how much access is Atlassian allowed to our Gmail instance, and the information contained in Gmail, with private email content and email addresses, by installing this add-on and setting up this integration? 

Are the 2 systems' information kept separate from one another when this integration is installed, helping to keep data private between the 2 instances? 

Is there documentation that can be shared that highlights the privacy and separation of the systems for security reasons?

I'm glad to hear you're excited about the potential for streamlining workflows with the Jira and Gmail integration. Your concerns about data privacy and access are valid and important. Let me clarify how the integration works and what information is accessed:

Email Content: As mentioned, Atlassian does not store the content of your emails. The integration allows users to selectively copy relevant parts of an email into a Jira issue. The user maintains control over what information is copied and can edit or modify it within Jira. The original email remains untouched in your Gmail inbox. We do not proactively scan or store any email content.

Inbox Monitoring: We do not monitor or access your inbox for any purpose other than facilitating the specific functions of the add-on, such as creating Jira issues from emails or linking emails to existing issues. 

Access Scopes: The integration requests only the necessary permissions from Google Workspace to perform its functions. These permissions are clearly defined during the installation process. We encourage you to review these permissions carefully before granting access. We adhere to Google's strict data usage policies.

Data Separation: Jira and Gmail remain separate systems. The integration acts as a bridge to allow data to flow between them based on user actions, but the underlying data stores remain distinct. Your Gmail data remains within Google's infrastructure, and your Jira data remains within Atlassian's infrastructure.

Atlassian AI: To reiterate, user data obtained via the Google Workspace API's sensitive or restricted scopes is not used to train our general AI/ML models. Furthermore, any interactions with Large Language Model (LLM) providers, such as OpenAI, are handled in a way that protects your data. These providers do not retain your inputs and outputs used within the integration.

Perhaps I don't understand. If I am in an email regarding an issue (usually an emailed notification sent from Jira alerting me of a change to the ticket) and click the Atlassan icon, I get a window that asks me to enter the link for the issue. If I am going to up the link, I have to enter the program anyway, so I don't understand how this is a help. Even if I could just enter the issue number without the remainder of the URL, that could be of some help, although it's probably not much quicker than just clicking the email link to see the ticket.

Beyond that, when I do enter the link, I only see basics about the issue (like who is assigned and priority). Again, there is no context to help me work on the issue, I still have to enter the program.

The only possible assistance I see is the ability to create issues directly from an email. However, our workflow is to verify (or at least look at the issue) before creating a ticket, so that's pretty rare for me.

Hi @Muthukumar Ravishankar - I've added the extension to my Gmail - but when I click on Jira emails in my Inbox the ticket info doesn't automatically appear in the sidebar section until I search for the ticket in the sidebar.  Is there a way that the add-on can automatically detect when you've clicked on a Jira email since the add-on is integrated with Gmail to read the sender email and know it's a Jira notification?

Hi,

Our organization heavily relies on Jira Cloud and operates under strict HIPAA compliance requirements, including a signed Business Associate Agreement (BAA) with Atlassian for our eligible Jira Cloud instances.

We are exploring the use of the Jira Cloud for Gmail app to streamline our workflows. However, on the security and compliance side, we have a critical question regarding its HIPAA coverage:

Does the Jira Cloud for Gmail app fall under our existing Atlassian HIPAA BAA?

Specifically, if Protected Health Information (PHI) were to be handled or linked through the app (e.g., creating issues from emails containing PHI, or viewing/editing issues with PHI directly from Gmail), would the data processed by the Jira Cloud for Gmail app be covered by the same BAA we have with Atlassian for our Jira Cloud products?

We understand that HIPAA compliance is a shared responsibility, and Atlassian has provided guidance on tagging eligible products and following the HIPAA Implementation Guide. We want to ensure that any data flow through this specific app also adheres to our BAA and all necessary safeguards for PHI.

Any insights, official documentation, or experiences from other HIPAA-compliant organizations using this app would be greatly appreciated.
