Introducing the New PDF Formatting Experience – Open Beta!

Hi Confluence Community,

We’re excited to introduce the open beta of our New PDF Formatting Experience! Now, you can easily customize how your Confluence pages look when exported to PDF. No coding or technical skills are needed.

With just a few clicks, you can adjust page size, margins, fonts, headers, and more, all from your space settings. It’s never been easier to create polished, professional PDFs.


📝 What Problem Are We Solving?

Until now, customizing PDF exports in Confluence often meant dealing with code, which made it hard to get the look you wanted. With our new experience, anyone can create professional PDFs using simple settings.


🚀 What’s New?

The New PDF Formatting Experience lets you configure PDF exports from the PDF Look & Feel page in your space settings with easy-to-use settings. No CSS or HTML is needed.
You can adjust:

  • Page size and orientation

  • Margins

  • Font type and size

  • Line spacing

  • Headers and footers

  • Page numbers

  • Title page

 


🔑 How to Try It

  • Admins: Opt in to the beta from the PDF Look & Feel page in the space settings. Look for the message at the top of the page.

  • The beta is applied at the space level and can be opted out by an admin at any time.

Is them meant to replace the CSS formatting completely or work with it?  What if we would like to have a different color for the Header fonts?

This sounds awesome @Kelly Sitton, but I can't see the option in any of my spaces yet - is it a gradual roll-out?

Looks great and very promising. I’d love to see an option to add an image at the top or bottom of the page. It would also be helpful to have the Confluence “Layout” macro available for the footer, so we can match official company documents that often use three or even four columns.

Will there be a way to customize how tables behave in the export?

I know I’m asking for a lot and will probably stick with Scroll PDF for now. Nevertheless, I’m really excited about these new PDF settings — this is a big step forward. Thank you for working on it.

So far it works really well for us, especially because now app macros don't get completely mangled (especially draw.io), as they have before.

Setting it up was also very easily understandable, although I hope there will be a way to set a global standard in global Confluence settings, so this isn't a thing one would have to set up for every space.

Since we can add headers and footers as well as title pages, it would be a great addition, if setting those up would work with some smart values such as page title, page owner, space name, published version or date of last edit to get some metadata automatically.
This would be a major time saver for everyone who uses Confluence for quality management documentation, that needs to be exported for external audits.

I've given it a look but had to revert to the "old experience" because:

1. I need a logo image in the header

2. I use the `<span id="title">` etc substitutions for page elements, these don't appear to be in the new version yet?

We need the ability to put our company logo into the PDF export header and footer. This needs to be part of this development effort.

Dear Confluence PDF export team,

I think it's great that you've taken up this issue. We need to create some documents for accountants, auditors and process documents as PDFs so that we can share them. We currently use an extension for this ;-)

The key feature there is an export button that combines a fixed layout with the current text, as we need different export formats for different purposes. I wish you continued success with the implementation – Andreas
