As a company we follow a series of procedures that has to be documented (word files).
So when creating a new issue with a specific issue type, there would automatically be inserted that specific word file from SharePoint OR just a set of URLS so the user can follow that URL to the document.
I have no idea if that is even an option to add specific data in the creation process of an issue.
If either of 2 options are valid, could we do something in the workflow, where we force the user to be redirected to the document (still based on the issue type)
Any thoughts and ideas are more than welcome, it is certainly a challenge to get enough documentation when people has to fill them out, without any help/notification what documents to fill out.
Thank you for reaching out.
I understand that you are looking for a way to automatically add a link to the static Sharepoint document when creating an issue in JIRA, depending on the issue type selected. Is that correct?
If you need to link always the same documents for the issue types, you can add their URLs as a default value of a custom field, by configuring a single workflow for each issue type you have. These would be the steps:
1 - Navigate to JIRA Settings > Issues > Custom fields > Create a new text custom field (Multiline)
2 - Add the field to your project screens
3 - Navigate back to your project > Project settings > Workflows
4 - Instead of mapping multiple issue types to the same workflow, map a single workflow for each issue type you have. P.S: You can simply create copies from the workflow you are already using.
5 - Click to edit one of the workflows > On diagram mode, click in the create transition > Add the post function "Update custom field value" to the transition, configuring it to add the URLs for that specific issue type applied to the workflow you are editing.
6 - Repeat the process for all workflows and publish your changes
Doing the steps above, your issues will be populated with a specific set of URLs you want, based on the issue type selected.
Let me know if you have any questions.
