Best way to create a simple overview of all our projects

 Hi,

We would like to create a simple overview of all our projects and status in our organisation.

Down below you will find a sample overview.

Field

Discription

Projectcode

Unique code for a project, for example 2024_001

Projectnaam (Name)

Name of the project

Tijd (Time)

A status indicator, what indicates the time in a project

A selection list to choice one status

  • Green -> project is being on time
  • Orange -> project is OK on time (but needs attention)
  • Red -> project is not on time

Geld (Financial)

A status indicator, what indicates the Financials in a project

A selection list to choice one status

  • Green -> financials are good;
  • Orange -> financials are OK, but needs some attention
  • Red -> Financials are not OK

Kwaliteit (Quality)

A status indicator, what indicates the Quality in a project

A selection list to choice one status

  • Green -> Quality is good
  • Orange -> Quality is OK, but needs some attention
  • Red -> Quality is not OK

Teamgevoel (Teamfeeling)

A status indicator, what indicates the teamfeeling in a project

A selection list to choice one status

  • Green -> Teamfeeling is good;
  • Orange -> Teamfeeling is OK, but needs some attention
  • Red -> Teamfeeling is not OK

% voltooid (% completed)

Possibility to select a number between 0-100%

Opdrachtgever (Client)

An selection list of employees of our organisation to select a client

Projectleider (Projectlead)

An selection list of employees of our organisation to select a projectlead

Fase (Phase)

An drop down menu to select a phase of the project

Start

 

Eind (End)

 

 

Is their a possibility to create this overview in the Atlassian suite ( jira/confluence) ?

Note. We use the Atlassian suite for projects concerning IT teams, we also have projects with no IT components and therefore we do not use Jira (we are willing to open an jira ticket, but not a complete epic-story-subtask structure).  We also have Confluence.

just to expand on Mark's great answer: If you'd go with a Jira-based solution (i.e., option 2 to 5), just be aware that there are many great apps available on the Atlassian Marketplace that could help with achieving the result you're looking for.

I can only speak for the app that my team and I are working on, JXL for Jira - but here, creating a view like the one you sketched above would be really easy and nice to do:

For context, JXL is a full-fledged spreadsheet/table view for your issues that allows viewing, inline-editing, sorting, and filtering by all your issue fields, much like you’d do in e.g. Excel or Google Sheets. It also comes with a number of advanced features, including support for (configurable) issue hierarchies, issue grouping by any issue field(s), sum-ups, or conditional formatting.

Hi @Ron Lambregts - If I'm understanding the question correctly, you're trying to establish a way to capture more metadata on your projects that can be reportable?  There are a few options:

  1. Confluence: You can create a confluence page to present all of your projects. The content would require manual creation but
  2. Project Tracking project:  This would be a project serving as the consolidated source for all projects and would contain issue(s) for each project with all of the relevant field data.  You can either have a single issue that represents the lifespan of the project or create new issues for each update so you can maintain a history. The filter results gadget on a dashboard can present the project statuses in a consolidated way.
  3. Status Update Issue Type: Similar to #2 except the updates reside with each project.
  4. Combination of above:  You can do any number of combinations of 1-3. For example, you like the idea of keeping the status updates with the projects, but want it presented in Confluence via the Jira macro.
  5. Jira Assets: This would allow you to create a CMDB that contains the relevant Jira project information you're looking to track.  Unfortunately, it does not integrate with native dashboards at this time, but you could provide a link to a read-only view of the table which can be filtered/sorted by the user. Hi Mark, Thank you for the answer, Allyou mentioned we already use, but it is not exactly what we needed. The plugin of Hannes seems more useful
