How can I pay for temporary staff, or cut off for not working staff when using Trello business?

Alfred - Dat. Pham April 18, 2021

Of-course, annual pricing is offering better. But I have 2 cases that want to solve:

1. We can't pay annually for probationary and temporary staffs. Because they will just working in couple months. That gonna take us a lot of money when doing like that because more than 50% our resources are from freelancer, temporary staff.

But we need them to work in our official workspace for better result with their personal account - we used shared account but it was not good at all.

So, is there any way that help us to annual pay for core team and temporary for others.

2. Can free account work within our workplace?

The fact that, there are a lot of boards that we're working there without businsess class.

But we want to centralize all of them into one trello workplace. So, can a free user get in some of that boards? They will just using less than 3 boards per user, and won't touch to boards that using offers of business class.

Hi @Alfred - Dat. Pham

Hm, you'll need to decide on how you want to approach this, but I can help give some clarity around the behavior and billing with those users.

Business Class is an upgrade for a single Workspace, so any members in that Workspace add to the overall cost of the subscription-in exchange they have access to paid features and all Workspace-visible boards.

1. For temporary staff, it's understandable not wanting to pay for a full year if they won't be around that long. However, Business Class wouldn't charge you multiple times if you frequently remove and add new members.

For example:

You have User A who is added to the Workspace, so you pay for their membership annually. After a month, you remove that member from the Workspace, and add User B in their place. The seat that was paid for for User A was available, so no new charge would occur.

To summarize, if you are frequently changing out temporary staff throughout the year, you could still work with an annual subscription. https://help.trello.com/article/855-how-billing-works-with-trello-business-class

2. Alternatively, you can explore adding these temporary users as guests on a board. Please note that a guest is not a specific option you can select, but rather the terminology we use.

A guest is a person who is a member of one board in your Trello Workspace, but is not a member of the Workspace itself. That lack of Workspace membership means they aren't able to see all Workspace-visible boards and they have no paid features available. Instead they are considered a free user who only has very specific access to the board they are a member of.

As long as they are a guest on only one board, there is no additional cost to your Business Class subscription. However if you add them to an additional board, they become known as a multi-board guest and cost the same as a Workspace member: https://help.trello.com/article/1123-multi-board-guests

I know you mentioned that they normally would need to access more than one, but if that can be consolidated down to a single board that a guest would access.

Hopefully that helps clarify, but let us know if you have any more questions!
