Our R&D team of 16 (split into 3 teams) have been using trello extensively for a number of year now, we use trello boards for individual project management, but also use a number of overall "portfolio" boards to report across all our different R&D projects in one place.
We've wanted to upgrade our plan for a number of years now (but had to fight against IT) however the removal of custom fields from new boards has forced us to look at upgrading or alternatives as it is a feature we use extensively on our existing boards.
Our main issue is while we want our core team of 16 to have trello membership (+maybe a further 10 key internal stakeholders), we also need our main "portfolio" boards to be visible to the wider company (160 staff) to view cards and comment (though not essential) but not create new cards. Convincing the wider company to switch to Trello is not possible.
We're wondering what would be the best way to do this? It appears that if we were to upgrade to a paid plan for our team members - if we allowed the rest of the company to view our portfolio boards they'd all be billed as full members as well? which is unideal as that would be a large cost for not much utility.
It isn't clear if enterprise plan "organisation visible" setting would help with this? - would that allow non department members in the company to see the boards without being paid members - or would it still require everyone to be paid for to view?
Other alternatives I see is we could set up "general" user accounts that could be shared by people wanting to view (but again unideal and unsure if allowed?). Or we merge all our portfolio boards into one so viewers wouldn't be "multi-board guests" (but that would be really unideal!)
Unfortunately if we can't sort something we'll have to try trialling microsoft planner instead.
Any advice on the best way to set up would be appreciated. Currently seems such a shame if pricing is set up in such a way we either need to be free, or pay for the full company, as really don't want to have to move away from trello and want to pay for it
