Automation - Hide/show fields depending on selection in other fields

Felicia Rodrigues March 25, 2022

Hi,

I am working on the request form and would like it to only show different custom fields depending on the selection in previous ones so that the request form is neater.

Example:
1st field YES/NO

If the requester chooses yes, another field will show for them to be able to provide more information.

I'm looking in Automation but can't really figure out how to go about it.

Hi @Felicia Rodrigues

This isn't possible using Automation, that's not what it's used for.

I'd look to use Forms:

  • You can use Forms to replace the standard request screens in JSM
  • You can set Sections in the forms, which can be shown dependent on other fields being chosen
  • To get started with forms - check these help pages

Hi @Ste Wright

Thank you for this!
How do I get Forms? Trying to find it in the link you sent but can't

Hi @Felicia Rodrigues

I assume you're using Jira Service Management, given your mention of request forms?

If so - these instructions for creating a form should help you locate the right options!

@Ste Wright

I think I figured out why. My project is a software project and not a business project. Do you have another solution?

Hi @Felicia Rodrigues

Forms with higher customisation are mainly in Jira Service Management, with Work Management having a simpler version available.

For Software, I don't think there's a form option at the moment - and no native option to have fields appear as you require.

You could consider

  • Whether an App from the Marketplace can help
  • If you could use Jira Service Management...
    • Create the form in JSM
    • Have users populate the form to create Issues via the portal
    • Use Automation to move these Issues into your Software Project post-creation

Remember for JSM it's a separate product. So if you're only using it for this, you could get a small number of Agents (eg. 1-3), or potentially use the Free version - thus limiting the cost.

Hi again @Ste Wright

Sorry to bother you.

I got a business project now but I cant see the section option. Just drag and drop in the form. I also can't find the option to create new forms.

Hi @Felicia Rodrigues

For the higher level of customisation you're looking for - hide/visualise fields - these options are only available in Forms in Jira Service Management.
