Pull Employee Data Into JSM form

I have employee data being pulled from Microsoft Entra to Jira Service Management.  I am designing an "Employee Data Change" form for my HR team.

What I would like to do is have the HR team select the user from our user picker, then have a table populate with that user's current information.  I'm not seeing a path for this.

Anybody know of a plugin or code that would help?

Hi @Ryan_Buschmeyer - Here is one way you can accomplish it.

  • Load all your employee data with role, title, depart etc into Assets in JSM.
  • Create custom fields that maps to the Asset object/fields.
  • Assign the custom field to Request type/Form

What HR system do you use?

Hope this helps.

Paycom.  We won't pay additional $ for their API, so we're stuck will pulling it from Azure (Entra)

Also, we are on JSM Standard (not premium), so Assets isn't an option...yet

Got it. Here is another idea. You can import all your employee data into Confluence database https://support.atlassian.com/confluence-cloud/docs/create-and-edit-databases/
Then link this into JSM as an article. You may not have the functionality of form but HR can view employee details as a sheet like view and update the JSM issue accordingly.

Thanks, Prabhu.  That's probably not the exact solution I wanted, but it would be super-helpful to our HR team.

Hi, @Ryan_Buschmeyer. Can you say a bit more about the use case (be a bit more specific)? What kind of data?

Also, are you trying to do this programmatically? With Atlassian Automation? Some other way?

The more detail you provide, the more likely it is someone here will be able to help.

Best,

Say for instance, we have an employee (Larry from Finance) who is changing departments within the company.  I'd like for HR to be able to select Larry from our User dropdown.

Then, I would like for our form to display Larry's current department (Finance) so that HR can verify the data they would like to change is actually current.

We have a plugin (AD Attributes for Jira) that does this for us in the Issue View, but I cannot see a way to pull this data in to our Form view (or Request for that matter).

Does that help?

Thanks for those details, @Ryan_Buschmeyer. I'm with you now.

Unfortunately, now that I am, I can't offer any marketplace app advice or how-to insights  🙁   (I was guessing incorrectly that this was heading in a different direction.)

Hopefully, someone else can help.  Meanwhile, if I were you, I'd reach out to the Azure AD Attributes Sync for Jira team at Diviniti

They clearly have expertise in this area, and maybe they will have some insights — or maybe it's an easy enhancement request.

Hope that helps you out in the end,

-dave

Yeah, thanks Dave.  I will reach out to the vendor... I was just hoping there would be an "easy" way to map something via smartValues or something similar.

None that I can think of, but as I said, maybe someone else will. Good luck!
