How can I remove statuses from other customers from JSM portal?

anurag.chavan July 2, 2024

I want to remove or make disappear the statuses from other clients from JSM portal.

If client A is having the protal then client A should see only his related statuses.

Hi @anurag.chavan

Are you sure your customers are seeing these statuses? If it is you who looks at the portal you will see what ever you are entitled to see. if the project "testing permission scheme" "testing-manoj " are limited they should not be visible for customer users in other projects.

Also working with each request type > Workflow Statuses > "Status name to show customer" is important to control the customer experience.

I find it useful to always use a dummy customer account to use for validating the customer experience on the portal.

Hello, Thank you for your response. Could you pleae provide me the path to remove the statuses from other clients if you are using a portal link for different client?

(You can see from one portal I am able to see 370 selections)

Thanks in advance.

Hi Anurag

I suggest you do these things:

  1. create an account in your jira site that have the same permission levels as your customers. Log in with that account to validate that your real customers are actually seeing your 370 selections.
  2. Ensure that your test projects are restricted.  (project > project settings > Customer permissions) . Set this is "restricted". Check the  people list so it's only contain those users that are working with you in these projects.
  3. On your customer facing portal, check and choose what statuses you want to be displayed on the portal (project > project settings >request types >Workflow statuses (check each request types)

After your suggested settings I still see the other project's status from one of the clients' portal..

Is it something to do with "Permission scheme settings?" We have 25+ clients for Jira service management shares one permission scheme.SS of client portal.pngProject Permissions scheme - Jira.png

Hi Anurag,

You can see with your admin account all the statuses from every project you're involved in.

For the customers, they will only be able to see statuses from projects that they've been added to. So, you need to ensure that you are testing using a customer's account, with only the projects they're designed to be able to access.

Furthermore, if you are still seeing statuses from projects even when the customer has not been added to it, please check the Project Settings > Customer Permissions, and ensure it is Restricted, instead of Open.

Customer Permissions with Open configuration allow all customers to be able to see said project in the portal, thus, they will be able to see the project's statuses as well.

Hello Dear team,

Thank you for the resolution. We have found the solution as you mentioned by changing the custermer permission to "restricted".

On top of that there are 2 default statuses visible 'Open Requests' & 'Close Requests', they seems not associated in any projects.

Could we also remove them?

Thanks in advance.

Great to hear!

Regarding the top two statuses, those are there by default, and at the moment, cannot be removed/disabled.
