Mention all users in HipChat

This question is in reference to Atlassian Documentation: Get teammates' attention

Sometimes we want to broadcast messages to all users in our HipChat account, regardless of which rooms they are members of. Is this possible?

It is not possible since you need to be in a room to message the users there.

You could create a script to leverage the API:

  • use the Get all rooms method to get the list of rooms.
  • use the Send message method, looping through each room to send your message.

Hope this helps,

Hi Jan,

I don't think that there is a native way to do that(without writing and executing any code). As a workaround (we use it this way, too) make a room with all the people and send messages in it and mention all the people in it.

Thanks for the reply! But how can I be sure that all our users are members of a certain room? When people log off, they seem to leave the rooms automatically.

(I want to send the message to the users that are offline too, knowing that they will get an e-mail notification.)

You can't. In our company, it is up to the employees not to leave the room(also when you are offline, that doesn't mean that you have left the room) as very important messages are sent only in the room. If you want to be absolutely sure that everyone will receive a message you will have to PM them (manually or programatically via the API, as @Sebastien Jacques has mentioned).

If users are in a private HipChat room, they currently will still receive @all notifications even if they close the room. They will receive a notification in their email if they have their email notifications enabled.

You can create a private HipChat room by selecting "create room" in the left sidebar under "rooms," and the selecting "private" when creating. You will need to invite all members of your organization into this room; they won't be able to join it without an invitation. However, it will solve the notification problem without manual scripting.

Thanks for a great tip, @Sara Dubuque!

What should I think about when migrating HipChat to Slack?

...from the beginning. We have built up a lot of content in HipChat, with it being a core tool in our distributed company model. While it is true that we didn’t need to move to Slack immediately, we felt it...
