Overcome Challenges & Improve Assignee Reporting

Managing a team is difficult. Team leaders and managers are often hardworking octopuses who try to be in all places simultaneously. They have to meet deadlines, put out fires, allocate resources correctly, and be able to analyze and monitor the health of the team, projects, and individual tasks. Such analyses plan future activities and allocate resources, costs, etc. If a team operates as a single, cohesive mechanism, then each member represents an essential component; without any one of these components, the mechanism's efficiency will be significantly compromised. The question arises: How can we properly assess the performance of each individual teammate? What reports are needed for this? How can we interpret the results? Let's try to figure it out.

Overcoming Challenges in Assignee Reporting

There are many of them. Let's try to review the most common ones.

  1. Inaccurate or Incomplete Data: Assignees need to regularly update their issues to ensure the data in the report is accurate and complete. This can make it challenging to track progress and identify potential roadblocks. It is necessary to log the time spent working on the issue, change its status, leave comments and other marks in time to fill the Jira issue, etc. Firstly, PMs can investigate the issue and immediately understand its stage. Secondly, Jira Dashboards are often used for daily monitoring of the work process, and general analysis, there are many other tools for generating reports, and if the task is not updated, there will be nothing to monitor. Unfortunately, PMs, Managers, and Team Leads cannot yet read minds, so team members have to update Jira issues according to their progress. 🙂

  2. Overlapping or Duplicate Assignments: If multiple assignees are working on the same issue or duplicate assignments, tracking progress and ensuring that work is not duplicated can be challenging. If your task requires several assignees, why don't you split it into several smaller tasks? However, this is a question of work organization; if you don't go deeper, you can analyze productivity in this case, but it is not as objective and transparent. Duplication? Better plan your work and assign tasks. Otherwise, somewhere in the middle of the project, it will turn out that part of the team is actively working on one part while another is gathering dust.

  3. Lack of Clarity in Assignments: If assignments are not clearly defined or there is no clarity about who is responsible for what, it can be difficult to track progress and hold individuals accountable. Don't reign in the chaos; organize everything and assign responsibility for each segment of the project. Always communicate on time. Yes, we all hate daily stand-ups (and also when they make us turn on the camera 😅), but it is necessary to ensure that everyone is on the same page.

  4. Limited Visibility: If assignees can only see their issues and not the issues of others, it can be challenging to get a comprehensive view of the project and identify potential roadblocks. Sometimes, with restricted access, you can twist things so much that it could be more realistic for each team member to understand what they're doing, what it's about, and where they need to go. Workflows should be transparent and visible. Such “secrecy” can create a lot of blockers and bottlenecks. And in general? Do you trust your team or not?

To address these challenges, it is essential to establish clear guidelines for using Jira, ensure that team members are trained on its features and functionality, and regularly review and update issue assignments to ensure accuracy and completeness.

Challenges in Analyzing Assignee Work

Analyzing the work assignee in Jira can provide valuable insights into their productivity, workload, and performance. However, there are several potential challenges and limitations to consider:

  1. Incomplete Picture: Focusing solely on the work of a single assignee can provide an incomplete picture of the overall project or team performance. It is crucial to consider the context of the assignee's work and how it fits into the broader project or team goals.

  2. Variability in Task Complexity: Not all tasks are created equal, and some may be more complex or time-consuming than others. Analyzing the work of a single assignee without considering the complexity of their tasks can lead to misleading conclusions.

  3. Lack of Collaboration Insight: Focusing solely on the work of a single assignee can overlook the importance of collaboration and teamwork in achieving project goals. It is essential to consider how the assignee's work intersects with the work of others and how they contribute to the overall team effort.

  4. Limited Sample Size: Analyzing the work of a single assignee may not provide a large enough sample size to draw meaningful conclusions, especially if the assignee has a small number of tasks or works on a limited scope of projects.

  5. Data Quality: The accuracy and completeness of the data in Jira can impact the reliability of the analysis. If the assignee's work is consistently tracked and updated in Jira, it can lead to accurate or complete insights.

So, considering the challenges from the previous two sections, let's finally start generating reports.

Jira Dashboards for Assignee Performance Reporting

Dashboards have many fans, and that's understandable—it's hard to imagine a more convenient real-time tool for monitoring work progress. 

Let's design a convenient dashboard using a variety of gadgets.

We used the following gadgets:

  1. Jira Gadget Workload Pie. A workload pie chart is a visual representation of how an individual or team's time is allocated across different tasks. It is a circular chart that is divided into slices, with each slice representing a proportion of the whole. The size of each slice corresponds to the amount of time or effort devoted to a particular task. 

  2. Further diagonally from it is the Assignee time report (a gadget in the Time in Status app by my team). Why are these two charts essential to us? Firstly, the Workload Pie shows the distribution of time spent on a task, while the Assignee Time pie chart illustrates how much time specific tasks were assigned to a particular Assignee. By comparing the values from both charts, we can see that a specific team member is experiencing delays in working on tasks. The task has been assigned a long time ago, but for some reason, they have only recently started to complete it. This signals us that we need to take a closer look at the situation and possibly adjust it to complete the work on time and with high quality without delays.

  3. Bubble Chart. It's a great chart that will alert us to possible difficulties in time. As you can see, some tasks stand out from the crowd - they were created long ago and are actively filled with comments. Perhaps we need to take a closer look at such large “bubbles” and reallocate resources, etc.

  4. The assignee time report is in the form of a grid. Here, we can see how long a task was in progress on each Assignee or how long it was Unassigned. 

Let's take a closer look at this report.

If you have a practice where one task is reassigned to different performers, you can use this report to see how long the issue was on each. It's easier than juggling custom fields and other workarounds.

Managing a team's productivity can be a headache, but with the right tools and strategies, you'll be acing it quickly! Addressing common challenges and utilizing Jira dashboards with assignee-focused gadgets will give you a clearer view of your team's performance. This will help you spot potential roadblocks, ensure evenly distributed work, and foster better collaboration. So, gear up and optimize your team's productivity like a pro!
